Multi-property & Platform Admin
Switch between properties, read the Pending, Active and Suspended statuses, and use the platform admin area to verify owners and publish properties.
Innvera holds many properties in one system, and every session is tied to exactly one of them. If your account belongs to more than one, you choose which you are working in and switch between them; everything you see — reservations, rooms, rates, staff, logs — belongs to the property you switched into.
Above all of that sits the platform admin: an Innvera operator, not hotel staff, who never manages a front desk. Their job is to check that a new owner is who they say they are, activate the property so guests can see it, and push it out to the channels. They get a sidebar of their own with three entries and nothing else.
Key terms
Active property — the property your current session is signed into. Your permissions, your data and your sidebar all come from it.
Owner — the account that registered the property. The owner is trusted in that property regardless of roles, and it is the owner's identity document that verification is about.
Platform admin — an Innvera operator account. Platform admins see every property in the system and can activate any of them, but hold no role inside a property.
Switching the active property
Open the property switcher
Click the property name at the left of the top bar — the one with the logo and the status badge next to it. On a phone, open the sidebar with the ☰ button and click the property name at the top. Either opens the dialog Select Your Hotel, Choose the hotel you want to manage.
Pick a property
The list shows every property you created plus every property where you hold an active role, with its description underneath. If it reads No hotels available. Please contact support, your account is not attached to any property.
Land in the new property
Clicking one re-issues your session for that property and opens the Calendar. Your permissions are re-read, so a manager in one property and a receptionist in another sees the right sidebar in each.
If your account belongs to several properties, the same dialog appears at sign-in before you reach the PMS. Accounts with a single property go straight to the Calendar. See Your First Login.
Property statuses
| Badge | What it means |
|---|---|
Pending verification | This hotel is pending verification and is not visible to guests yet. The PMS works fully for your team; only guest-facing visibility waits. |
Active | This hotel is verified and visible to guests. |
Suspended | This hotel has been suspended and is not visible to guests. Contact support to resolve this. |
The badge appears beside the property name in the top bar and sidebar, in the platform admin's property list, and on the property detail dialog.
Creating a property
A property is created by registering it. The five-step form at /register creates the property and its owner account together — property details, owner account, address, one identity document, then Review & Confirm. That flow is documented step by step in Your First Login.
Adding a second property — coming soon
There is no Add property button anywhere inside the PMS, and the platform admin's Properties screen lists and reviews properties but does not create them. Today a second property means registering it, which creates a second owner account; the existing account can then be invited into it from Settings → Users & Permission. A way to add a property to an account you already have is on its way.
The platform admin sidebar
A platform admin signing in lands on Properties, and the sidebar holds a single group, Platform, with three entries:
| Entry | Goes to | What it is |
|---|---|---|
| General Information | /profile | The admin's own profile |
| Properties | /properties | Every property in the system |
| Logs | /logs | The activity and audit log screen |
Everything a property sidebar carries is gone — Dashboard, Calendar, Bookings, Inventory, Guests, Rooms, Housekeeping, Accounting and Settings — and the top bar loses the property switcher, global search and the quick-action buttons, keeping only the theme toggle, notifications bell and profile menu. Opening any other address sends the admin back to Properties.
General Information
This is the ordinary profile page, trimmed. It opens with the admin's name, email and Email Verified badge, and has two tabs:
- Account — the avatar uploader, personal details, Change Password, and sign-out.
- Notifications — the browser push switch and the notification preference list.
The Property & Activity tab, the Documents card and the identity-verified badge are all hidden, because a platform admin has no property and no identity documents of their own to verify.
The platform admin's Logs entry — coming soon
The Logs screen reads the log of one property, and a platform admin session has no property attached to it. Opening Logs from the platform sidebar therefore returns Missing hotel context rather than a list. Read a property's log by signing in as a user of that property — see Activity Logs.
Properties
The header reads Platform admin / Property management, Review registered properties and activate hotels after owner verification is complete, with a Refresh button. Three tiles — Active, Pending, Suspended — count the properties on the page you are looking at, not the whole platform, so they change as you page through.
| Column | What it shows |
|---|---|
| Property | Name, with the URL slug underneath |
| Status | The status badge |
| Location | City and country code from the address, or Not set |
| Currency | The property's currency |
| Channex | Synced once the property exists in Channex, otherwise its sync state or Not synced |
| Created | Registration date |
| Action | Activate for anything not yet active, otherwise Go live or Re-sync |
Properties are listed newest first, 25 to a page, with Previous / Next and a Showing X of Y properties count. Clicking a row — or the Activate button — opens the property detail dialog.
Review and activate a property
Property detail shows Review the owner and identity documents before activating the property, a card with the property's timezone, currency, Channex state and creation date, a card with the owner's name, email, phone and whether their email is verified, and an Owner documents section.
Open the document
Each one shows its type, a Pending / Verified / Rejected badge, the file name and size, and the rejection reason if it has one. Open opens the file in a new tab.
Verify, or reject with a reason
Verify marks the document verified and leaves the property as it is. Reject opens Reject document, Add a short reason so the owner knows what to upload next — the reason is required, and the owner sees it on their Documents page.
Activate the property
Verify & activate on a document does both at once; Activate with verified document, at the top of the section, uses a document that is already verified. Either way the status becomes Active and a toast confirms it.
A property cannot be activated without a verified document
If no owner document has been verified, activation is refused with Hotel cannot be activated until one of the owner's documents has been verified. Activating a property that is already active changes nothing and reports success, so a double click is harmless.
Activation is a compliance decision only — it flips the status and resets the property's sync state, but it pushes nothing to Channex. Publishing is the separate step below.
Go live and re-sync
For an active property the row's action button reads Go live if it has never been published and Re-sync if it has. Both open a confirmation — Publish this property to Channex? or Re-send full sync to Channex? — explaining that it pushes 500 days of availability and rates/restrictions for every room and rate plan as two consolidated calls, in the background. A property that already has a baseline is re-sent in full rather than skipped, which is what makes Re-sync useful after an outage or after changing inventory or rates.
Confirm with Go live or Re-sync (the button reads Enqueueing... while it runs). A toast reports how much was enqueued for availability and for rates/restrictions. If both come back zero you get a warning instead — Nothing was enqueued — the property, room types or rate plans may not be synced to Channex yet — which means the groundwork is missing rather than that the sync worked.
Full syncs are capped at two per minute per property, a budget shared with the owner's own publish button, so alternating between the two screens will not double it. A property still pending activation cannot be published at all.
Suspending a property
Suspended is a real status and appears in the tiles and badges, but nothing on the Properties screen sets or lifts it — there is no suspend or reactivate button in the platform admin area today. Treat a suspension as a support matter.
Common mistakes
- Waiting for
Activebefore doing any work. A pending property runs the PMS completely; verification only decides whether guests can see it on the booking engine and channels. - Activating and expecting channels to fill. Activation and publishing are two actions. After activating, use Go live — or let the owner publish from their own Channel Manager.
- Treating a rejected document as final. The rejection reason is the instruction; the owner uploads a replacement and the property is reviewed again.
- Looking for platform admin accounts in Settings. They are provisioned by whoever runs the Innvera server, not granted from the PMS, and no screen can turn a hotel user into one.
