Modifying Reservations
Change rate plan, occupancy, guest details and notes in the edit sheet; move dates and rooms from the Calendar; what is locked after check-in.
A reservation can be changed in two distinct ways, and it helps to know which is which. The Edit sheet changes things that do not touch inventory: rate plan, adults and children, the booker's contact details, special requests and notes. Anything that moves the stay on the grid — dates, room type or the assigned room — is a move, done by dragging on the Calendar or through the Change room dialog, because it has to release and re-take inventory, re-check restrictions and re-price the stay.
Only a Confirmed reservation can be edited. Once the guest is checked in the Edit button is disabled with the hint "Checked-in reservations can't be edited here."; checked-out, cancelled and no-show reservations are read-only. A booking still On Hold is not editable either — Confirm Booking first, which re-prices nothing, and then edit it. Moves, on the other hand, work on a hold exactly as on a confirmed booking, and room moves and stay extensions remain possible while the guest is In-House, with limits described below.
Edit rate plan, occupancy, guest and notes
Open the edit sheet
From the reservation page click Edit, or from the detail sheet click the pencil icon, or choose Edit reservation in the Actions menu. The sheet header reads "Edit SUN-000123" — the booking reference — with the dates, room type, room count and currency, and the reminder "Dates, room type and room count are fixed — move the reservation from the calendar to change those."
Change what you need
- Pricing: Rate Plan (plans of the current room type), Adults, Children. The box below shows Current total and Estimated new total with the room charge and tax lines, "Live total from the server, including taxes; confirmed on save."
- Guest: First Name, Last Name, Email, Phone, Country. These update the guest record itself, so they change on the guest's profile too.
- Notes: Special Requests and Notes, up to 2,000 characters each.
Save
Click Save Changes. The button is disabled until something has changed and until the new total has settled. A toast reads "Reservation updated successfully". Closing the sheet with unsaved edits asks "Discard changes?".
If someone else changed the reservation while you had it open, saving fails with "This reservation was changed by someone else. Refresh and try again." and the sheet drops back to the fresh read-only view.
One room at a time
Rate plan and occupancy belong to a single room, not to the booking, because a rate plan is scoped to one room type and cannot be shared across a Deluxe King and a Twin. The edit sheet does not yet offer a choice of which room, so on a booking with several rooms a pricing change there is refused with "This reservation has several room segments — specify reservationRoomId to choose which one to change". Change that room's type, room or rate plan from the Calendar or the Change room dialog instead, which are per-room by design.
Price overrides
There is no free-text price override. The total is always recomputed by the server from the rate plan and occupancy; the only levers are the rate plan itself and the counts. When the new total differs from the old one, the folio gets an Adjustment line for the difference ("Rate/occupancy adjustment: 300.00 USD -> 360.00 USD") rather than an edited room charge, because the folio ledger is append-only. To discount a stay by hand, post a Discount on the Folio tab instead.
Notes
Notes can also be edited without opening the full edit sheet: choose Note under "Add to reservation" in the Actions menu, or click Add note / Edit note on the Notes tab. The dialog has Special requests (guest-facing) and Internal note (staff-only), each with a character counter, and saves with Save note.
Move dates, room or room type
Open Calendar in the sidebar. Every room of every booking is a bar on that room's row; unassigned stays sit on the Unassigned row of their room type. Sweeping across empty cells instead starts a new booking or a courtesy hold — see Creating Reservations.
- Drag the bar sideways to move the dates. The confirmation is titled Move Reservation and shows Check-in, Check-out and Nights from → to.
- Drag the bar's edge to change the length of stay (Change Length of Stay). Extending or shortening a stay is done this way.
- Drag the bar to another row of the same room type (Move to Different Room) or of another room type (Move to Different Room Type). Dropping on the Unassigned row is Unassign From Room: "The reservation keeps its dates and room type — only the room assignment is cleared."
While dragging, the ghost bar turns red with "⚠ Conflict" when another stay already holds those nights, or "⚠ Dirty" / "⚠ Out of order" when the target room cannot take a guest. A refused drop snaps back. Click Confirm to apply; a toast reads "Reservation moved".
When the move changes room type on a priced reservation, the dialog adds Rate plan for [new type] — "Rate plans belong to one room type, so this move needs a new one." Innvera pre-selects a plan with the same code in the target type, or the target's only active plan; otherwise you must choose.
A move re-runs the same checks as creation on the room being moved — inventory for the new nights, arrival-date restrictions, the target room being free and not blocked — and re-prices it with the effective rate plan. If the total changes, the folio gets an Adjustment line. Availability updates are queued to Channex for the vacated and the newly occupied ranges, and a "Reservation moved" entry is written to the history.
On a booking with several rooms, a date-only drag moves the whole stay — a guest arrives and departs once — while anything touching the room, the room type or the rate plan applies to the one bar you dragged. See Multi-room Reservations.

Channel bookings are frozen before arrival because Innvera does not push date or room-type changes back to the OTA; amend the booking on the channel instead. Room assignment within the sold type is always free, since the OTA never knew a room number.
Room change after check-in
Moving an In-House guest to another room of the same type is allowed from the Calendar or Change room. The room they leave is set to vacant and dirty, a departure clean task is raised for it in Housekeeping, and the new room becomes occupied, all in one step.
Common mistakes
- Trying to change dates in the edit sheet. Dates, room type and room count are deliberately absent there; use the Calendar.
- Expecting the room charge line to change. It never does. Look for the
Adjustmentline on the folio. - Editing a channel booking's dates in Innvera. It will be refused; the guest's confirmation with the OTA would no longer match. Change it on the channel and let the revision flow in.
- Dropping on a dirty room. The drop is refused until housekeeping marks the room ready; pick another room or clean it first.
- Trying to edit a hold. Confirm it first (nothing is re-priced), or release it and book again.
