My Rooms (Attendant App)

The attendant's phone surface — install it, work your sheet room by room, tick the checklist, record findings, skip a room, and keep working when the signal drops.

My rooms (/housekeeping/my-tasks) is the room attendant's screen. It shows only the rooms assigned to you for today at this property, in the order the supervisor published, with thumb-sized buttons for the few things you do a hundred times a day: start a room, tick the checklist, record what you used or found, complete it, move to the next. It is built for a phone held in one hand on a corridor with bad Wi-Fi, so it installs as an app and keeps working offline.

Staff who hold housekeeping: work but not housekeeping: assign see My rooms in the sidebar instead of the supervisor's Housekeeping entry. Supervisors can open the URL directly. The screen has no date picker and no supervisor chrome: it is always the property's today, and it never shows anyone else's sheet.

Install the app

Open My rooms on the phone

Sign in on the phone's browser and open My rooms. The page registers a service worker scoped to /housekeeping/my-tasks and a manifest named after the property (Riverside Hotel Housekeeping, with the property logo as the icon), so the browser offers to install it.

Add to home screen

Accept the browser's install prompt (or use Add to Home Screen / Install app from the browser menu). The installed app opens straight on My rooms in standalone mode.

Keep it signed in

The app uses the same sign-in as the PMS. If the session expires, open the app and sign in again; the sheet reloads from the server.

Your sheet

The header shows a progress ring (6/14 rooms), Minutes remaining (the sum of the estimates on rooms still to do) and Next room. Below it, Next priority is the first room still to do in your published sequence, followed by Up next — the rest of the day. Rooms that are cleaned, inspected, skipped or cancelled drop off the list.

Each row shows the room number and type, the task type, the origin (Departure, Stayover…), the estimate and any Arriving, DND or Guest in room markers. Swipe right to start, swipe left to complete, or tap the row to open it. No published rooms yet means the supervisor has not assigned you anything for today; the sheet appears once they do.

Work a room

Tapping a room opens the full-screen runner.

Read the room header

Room number, type, section and task type, plus warnings that matter before you knock: Guest in room (Announce yourself and respect the guest's belongings), Do not disturb (Confirm access before starting service), Stayover room (Do not remove the guest's personal items), Arrival warning and Special request. The Room access switches — Guest in room and Do not disturb — record what you found at the door and are saved straight away (or queued offline). They feed the supervisor's discrepancy report.

Start the room

Tap Start room. The task becomes In progress and the clock starts; the checklist for this task type and room type is snapshotted onto the task at this moment, so later template edits never change a room you have already started. If you cannot service the room at all, tap Can't service this room instead (see Skip a room below).

Tick the checklist

Items are grouped by area (Bathroom, Bedroom…). Tap an item to mark it Pass; use the item's menu (or long-press) for Fail, N/A or to add a note — Add context for the next person…. Items marked Mandatory must have a result before you can complete; items marked Photo required need at least one photo, taken with the camera button on the item, unless you mark them N/A. The Complete button stays disabled and explains why — 2 mandatory items remaining.

Record something

Four quick actions sit under the checklist:

  • Linen used — count linen and amenities used against the room type's par levels (4 expected). Stock comes off the store.
  • Minibar — count what the guest took. Chargeable items post to the guest's folio; if the charge cannot be posted (no reservation on the task, or the folio is already closed at check-out) the count is still recorded and a supervisor is notified to post it by hand.
  • Lost & found — log an item found in the room (What was found, category, storage location). It is linked to the room and the guest's reservation automatically.
  • Report issue — raise a maintenance work order for the room, optionally ticking Take room out of order.

Linen used and Minibar are only enabled once the room is started (Start the room first); lost & found and issues can be logged before.

Pause if you have to leave

Pause stops the clock (the task becomes Paused); Resume restarts it. Paused minutes are subtracted from the room's actual time.

Complete

Add Room notes for the inspector if needed (Leave context for the inspector…) and tap Complete. The task becomes Cleaned and — if the room was vacant and dirty — the room becomes Clean awaiting inspection, or Ready directly when the property does not inspect. A hand-off screen shows Room 204 done in 32 min (est 45), warns That one ran over if you beat the estimate the wrong way, and offers Start room 206 or Back to my rooms (11 left).

Skip a room

Tap Can't service this room (before starting) or Skip room (after). Pick a reason — Do not disturb, Guest refused service, No access to room, Green stay / no service, Room is out of order, Out of time, Other — add a note for the supervisor, and confirm with Skip room. The task becomes Skipped and leaves your sheet; the room's condition does not change, and the supervisor can raise it again. A skip for Do not disturb also tells tomorrow's generator to leave the stayover alone.

Offline behaviour

The sheet you last loaded is cached on the phone, so the app opens instantly without signal. A banner across the top reports the sync state:

Starting, pausing, resuming, completing and skipping, room-access switches, checklist ticks and notes, consumption counts, work orders and lost & found all queue offline with a toast — Room 204 saved offline — it will sync when you reconnect. Each queued action carries a fixed idempotency key, so a replay after a dropped connection can never apply twice. The queue drains in order when the phone comes back online.

Conflicts resolve server-wins. If a supervisor completed or cancelled the room while you were offline, your queued action is dropped and you see who did it: Room 204 was already completed by Aisha at 11:04.

Photos need a connection

Photo upload is the one thing that cannot queue — it needs a signed upload from the server. Offline, Complete on a room whose checklist has an outstanding Photo required item is blocked with 1 photo still needed — reconnect to upload. Everything else on the room can be finished offline; attach the photo and complete once you have signal.

Tips

  • Work the sheet in order. The sequence is a walk of the building by section and room; the Next priority room is placed first because it is urgent or due soonest.
  • Set the door flags honestly. Guest in room and Do not disturb are what the discrepancy report compares against the front desk's records, and a DND skip is what stops the same room being planned again tomorrow.
  • Do not force-close the app while Sync pending shows. The queue is stored on the phone and survives a restart, but finishing the drain before a shift ends means the supervisor sees your rooms tonight, not tomorrow morning.
