Stores & Stock

The Stock tab in Stores — on-hand balances against reorder points, booking in deliveries, correcting counts and writing off damaged stock.

Stores is the property's physical stock: linen, guest amenities, minibar items and cleaning supplies. Open it at /stores (or follow the Stores link on Settings → Housekeeping → Par levels). The page header reads Physical stock catalogue, on-hand balances, movement ledger, and housekeeping demand projection, and four pill tabs split the work: Stock, Catalogue, Movements and Housekeeping demand. This page covers the Stock tab; the others have their own pages.

The Stock tab is the storekeeper's screen. It lists every active catalogue item with what is on hand and where the reorder point sits, flags anything at or below that point as Low stock, and offers the only two manual ways stock changes: Receive stock for deliveries and Adjust stock for count corrections and write-offs. Consumption is never entered here — attendants record linen, amenity and minibar usage from their task runner, and those movements arrive in the ledger tagged Housekeeping.

Key terms

On hand — the current balance of an item, shown with its unit of issue (for example 120 pcs). It is the running sum of every movement and can go negative.

Reorder at — the item's reorder point from the catalogue. An active item whose on-hand balance is at or below this number is low.

Storekeeper — the section on the Stock tab that holds the receive and adjust actions. The seeded Storekeeper role has every stores permission.

Location — Innvera keeps one balance per item per property. There is no separate store, floor pantry or trolley stock.

Read the stock table

Only active items appear. Deactivated items keep their history in the ledger but drop out of this table and out of the receive and adjust pickers. If the table is empty you see No stock records — Receive stock against catalogue items to see on-hand balances; add items on the Catalogue tab first.

Receive a delivery

Needs stores: receive; the button is disabled with Requires stores receive permission otherwise.

Open Receive stock

In the Storekeeper section click Receive stock. The dialog subtitle reads Book in a delivery against the catalogue.

Choose the item and quantity

Pick the Item (only active items are listed, shown as Name (SKU)) and type the Quantity received — a whole number greater than zero. Leaving either blank shows Select an item and enter a positive quantity.

Add the paperwork

Delivery reference (optional, for example PO-2026-0000) is stored on the movement and shown in the ledger's Reference column. Notes are free text.

Confirm

Click Receive stock. The balance increases at once, the toast reads Received stock for <item>, and a Received movement with source Manual is written to the ledger and a Stock received entry to the activity log.

Adjust or write off stock

Needs stores: count. Use this after a physical count, or when stock is damaged or has expired.

Open Adjust stock

Click Adjust stock. The subtitle reads Correct a stock count or write off damaged/expired stock.

Pick the item and the reason

Choose the Item, then the Reason: Stock count correction (recorded as Adjusted) or Damaged / expired (recorded as Wasted).

Enter the delta

Quantity delta is signed: negative to write off or correct down, positive to correct up. It must be non-zero, or you see Select an item and enter a non-zero quantity (negative to write off). Add Notes to explain the correction — it is the only place the reason is recorded.

Confirm

Click Adjust stock. The toast reads Adjusted stock for <item>. The server also stamps the item as counted now and logs a Stock adjusted entry.

Balances can go negative

Housekeeping consumption is never blocked by a missing receipt — a blocked clean is worse than a wrong number. A negative on-hand balance is therefore the signal that a delivery was never booked in. Receive it, or correct the count, rather than leaving the figure negative.

Low stock

An item is low when its on-hand balance is at or below its reorder point and it is active. The badge appears in the Status column of the stock table; there is no separate low-stock report screen and no automatic notification or purchase order — check the tab as part of the storekeeper's routine and raise the reorder point on items that run out between counts.

Tips

  • Set reorder points as you add items. The default is 0, which means an item is only ever flagged low once it has actually run out.
  • Use the delivery reference. It is the fastest way to reconcile the ledger against supplier invoices later.
  • Write off, do not "correct", spoiled stock. Choosing Damaged / expired keeps waste separate from counting errors in the ledger.
  • Chargeable items post to folios at consumption. Receiving or adjusting a minibar item never touches a guest bill; only an attendant's minibar count does.
