Maintenance & Stores
Track defects as work orders, take rooms off sale while they are fixed, and keep physical stock (linen, amenities, minibar, cleaning) counted and replenished.
Two back-of-house modules sit alongside Housekeeping. Maintenance is where a broken shower mixer or a failed air-conditioner becomes a numbered work order, is assigned, fixed and closed, and where a room can be taken out of order so the front desk never sells it in the meantime. Stores is the property's physical stock: the catalogue of items you keep, how many are on hand, every receipt and consumption in an append-only ledger, and a projection of what tomorrow's housekeeping tasks will use.
Both modules are deliberately thin on data entry. Attendants report issues and record linen, amenity and minibar usage from their own task screens in Housekeeping; those actions raise work orders and write stock movements automatically. The Maintenance and Stores screens are for the people who act on that information: the maintenance desk, the storekeeper and the housekeeping supervisor.
Neither module has an entry in the main sidebar. Open them directly at /maintenance and /stores, from the Stores and catalogue links on the Housekeeping Par levels settings page, or from a notification such as Room 204 taken off sale (WO-2026-0012), which opens the work order in question.
Key terms
Work order — one maintenance issue with a reference like WO-2026-0012, a category, a priority, a status and, usually, a room.
Out of order — a room condition that removes the room from sellable inventory. A work order can set it and, on resolution, lifts it.
Catalogue item — a stock item the property keeps: name, SKU, unit of issue, category, whether it is chargeable to guests, and a reorder point.
On hand — the current counted balance of an item. It is only ever changed by a movement.
Movement — one signed change to on-hand stock: Received, Consumed, Adjusted or Wasted, tagged with the module that caused it.
Par level — the quantity of an item a room of a given room type is expected to use per clean. Configured under Settings → Housekeeping → Par levels; the demand projection multiplies it by tomorrow's tasks.
Permissions
| Resource | Actions | What they unlock |
|---|---|---|
maintenance | read, write, assign, close | See work orders; raise them; assign a technician; change status |
stores | read, receive, count, manage | See stock; book in deliveries; adjust and write off; edit the catalogue |
The seeded Storekeeper role holds every stores action. The seeded Housekeeping role holds only maintenance: read and stores: read — attendants raise work orders and consume stock as a side effect of their housekeeping actions, not through these screens. See Users & Permissions.
