Housekeeping

The Board

Run the housekeeping day from the supervisor board — columns, filters, task cards, drag-and-drop transitions, bulk actions and live updates.

The Board is the first tab of Housekeeping (/housekeeping) and the supervisor's view of one day's work. Every task for the selected date is a card; cards sit in columns grouped by Status, Attendant or Section; a summary strip across the top counts the day and shows Ready vs arrivals. From here you generate the day, assign and reassign rooms, move a task along by dragging it, open a task's full detail sheet and act on several tasks at once.

The header holds the shared date stepper (Previous day, Today, a date picker, Next day) — the date you pick carries to Assignments and Inspections — plus a shift selector, the three day-setup buttons and Create task.

Key terms

Task — one unit of room work: a room, a task type (Full clean, Touch up, Deep clean, Turndown, Inspection, Maintenance check), a priority, an optional attendant and an origin explaining why it exists.

Origin — where the task came from: Manual, Departure, Stayover, Arrival prep, Vacant refresh, Deep clean cycle, Turndown, Rework or Maintenance followup. Generated tasks carry a generation key so re-running the generator never duplicates them.

Sheet — an attendant's ordered list of rooms for the day. Publishing a sheet notifies the attendant.

Live — the WebSocket pill in the toolbar. Live means changes made elsewhere appear as they happen; Connecting… / Reconnecting… mean the 20-second poll is covering; Offline means the socket could not connect and the board is polling.

Task statuses

StatusLabel on the boardMeaning
PENDINGPendingCreated, nobody assigned.
ASSIGNEDAssignedHas an attendant, not started.
IN_PROGRESSIn progressThe attendant pressed Start.
PAUSEDPausedStopped mid-room; shown inside the In progress column.
COMPLETEDCleanedThe attendant finished; the room waits for an inspector. The summary strip calls it Cleaned, awaiting check.
VERIFIEDInspectedA supervisor approved the room (or inspection was not required). Terminal.
FAILEDFailedInspection rejected the clean; shown inside the Cleaned column. A separate Rework task carries the work on. Terminal.
SKIPPEDSkippedNot done, with a reason (DND, guest refused, and so on). Terminal.
CANCELLEDCancelledWithdrawn by a supervisor or by generation. Terminal.

The legal moves are fixed by the server: Pending → Assigned / In progress / Skipped / Cancelled; Assigned → In progress / Skipped / Cancelled; In progress → Paused / Cleaned / Skipped / Cancelled; Paused → In progress / Skipped / Cancelled; Cleaned → Inspected / Failed. Anything else is refused with Housekeeping task cannot move from X to Y.

Summary strip and readiness

The chips count Total, Pending, In progress, Cleaned, awaiting check, Inspected and Skipped for the day; click one to filter the board to that status, click again to clear. The Ready vs arrivals badge shows rooms ready / arrivals expected for the date and turns red when readiness is short — this is the number the duty manager cares about.

Columns and grouping

Use the Group by toggle in the toolbar:

GroupingColumnsWhat dragging a card does
Status (default)Pending · Assigned · In progress · Cleaned · Inspected, plus a Not done column that appears only when something is skipped or cancelledMoves the task along the workflow. Dropping on Assigned opens the assign dialog; on In progress starts it (or asks for an attendant first); on Cleaned opens the completion notes; on Inspected opens the detail sheet to approve. An illegal drop is refused with Room 204 cannot move to Inspected from its current state.
AttendantOne column per attendant with work today, each with a capacity bar (planned minutes against shift capacity), plus UnassignedReassigns the task. Dropping on Unassigned clears the attendant and returns an Assigned task to Pending.
SectionOne column per section named on the day's tasks, plus UnsectionedChanges the task's section for the day (a snapshot on the task, not the room's permanent section).

Within a column, work still to do sorts by due time, then priority (Urgent → Low), then room number; the Cleaned column sorts by how long each room has waited for an inspector, oldest first, so the top card is always the next thing to deal with. An attendant column follows the sheet's published sequence instead. The Density toggle switches between comfortable and compact cards.

The Filters popover offers Assigned staff, Task type, Status, Section, Origin and Priority; the badge on the button counts active filters and Clear all resets them. The line beside it reads Showing: In progress · Full clean so you always know what is hidden. Find a room filters cards by room-number prefix as you type; press Enter when exactly one room matches to open its detail sheet.

Task cards

Each card shows the status pill and a priority icon (only High, Urgent and Low — Normal is the default and is not drawn), Room 204 and its room type, the task-type chip, Arriving / Departing badges when the room turns over today, Stayover, DND and Guest in room badges, the assigned attendant (or Unassigned), the section, and a footer with the estimate (45m), checklist progress (7/12), photo count, the due time (Due 14:00, or 2h overdue in red), Waiting 35m on a cleaned room, 38m open while in progress (amber once past the estimate) and the origin.

Click the room number to open the detail sheet. Tick the checkbox to add the card to a selection. The ⋯ menu offers View details, a Move to list (the same targets as dragging, for keyboard and touch), and Pause, Resume or Skip when they apply. The single button at the foot of the card names the one thing the room is waiting for — Assign, Start, Resume, Complete or Inspect — filtered by your permissions.

  • Complete opens Complete — 204 with an optional Notes field; Mark Complete submits. The server refuses with Cannot complete: N mandatory checklist item(s) are not done if the checklist snapshot has untouched mandatory items.
  • Skip opens Skip room 204? with Why is it being skipped? (Do not disturb, Guest refused service, No access to room, Green stay / no service, Room is out of order, Out of time, Other) and a note. Confirm with Skip room.
  • Inspect opens the detail sheet, where Approve and release or Fail inspection decide the room (see Inspections).

The detail sheet

The sheet shows the status pill, priority, task type and room type, then collapsible sections: History (who did what and when), Checklist (attendant and inspector results side by side), Inspection (score, release consequence, failed items, rework link), Room access (Guest in room / Do not disturb switches), Photos, Consumption (linen, amenities and minibar recorded on the task, with Void for a chargeable line), Lost and found, Linked work orders and Task notes. The ⋯ menu offers Pause task, Skip task and Cancel task (confirmed with Cancel this housekeeping task?). The footer holds the primary action.

Create a task by hand

Open the dialog

Click Create task in the header (or Raise task on a tile of the Rooms rack). You need housekeeping: assign.

Fill in the task

Choose the Room, optionally a Preset (which fills the fields below and attaches its checklist — anything you change afterwards wins), the Task type, Priority, Scheduled date and Notes.

Create it

Click Create task. If a task already exists for that room, date and type, you see A task already exists for this room — choose Open existing task or Create anyway (two touch-ups on one room in one day is legitimate).

Bulk actions

Tick several cards and a bar appears at the bottom: Assign selected (opens Assign N tasks), Raise priority (pick Low, Normal, High or Urgent), Cancel selected (confirmed with Cancel N selected tasks? — cancelled tasks leave the workflow and cannot be restored), Print sheet (prints just the selected cards) and Clear selection. Bulk calls report what they could not change: a task that has already started, for example, is skipped with the server's reason.

Live updates

The board opens one socket per viewed date. Whenever a task is assigned or unassigned, changes status, is reordered or bulk-updated, or a sheet is published, the server tells every open board for that property and day and the board refetches — no data travels over the socket itself, so what you see is always the server's record. Changing the date reconnects for the new day. When the pill reads Offline, the board polls every 20 seconds instead.

Tips

  • Start with Status grouping, switch to Attendant to balance. Status tells you where the day is; Attendant with its capacity bars tells you who is overloaded, and dragging between those columns is the quickest reassignment.
  • Watch the Cleaned column's waiting times. A room Waiting 90m is a sellable room nobody has released. The Inspections tab lists the same rooms with one-click Approve.
  • Use the shift selector when two shifts overlap. It narrows the attendant columns to those rostered on that shift type; No attendants are scheduled for this shift means the roster is empty for the day.
