Inspections
Work the queue of cleaned rooms, score the checklist item by item, approve to release the room for sale or fail it and raise rework.
A completed clean is not a sellable room. When Inspection required is on, finishing a room moves it to Clean and parks it until a supervisor looks at it — the Inspections tab (/housekeeping/inspections) is that queue. Approving a room releases it to Ready and, when an arrival is booked into it, tells the front desk. Failing it holds the room off sale and raises a Rework task so the work carries on.
The tab shares the housekeeping date stepper with the Board and Assignments, so the day you are looking at carries across. The queue itself is simply every task for that date whose status is Cleaned — the same rooms sitting in the Board's Cleaned column, listed with a decision attached to each one.
Where it lives
Open Housekeeping in the sidebar, then the Inspections tab. The header reads Review completed rooms before release and carries Print inspections, which prints the queue as it is currently filtered under an Inspection queue heading with the date and a room count.
Who can inspect
Seeing the queue needs housekeeping: read. Deciding a room needs housekeeping: verify — without it Approve and Fail are greyed out with the tooltip Requires housekeeping verify permission, though you can still open a room and read its checklist. The server also refuses You cannot verify a housekeeping task you performed when the task is assigned to you, unless Allow self-inspection is switched on in Housekeeping settings.
Key terms
Inspection score — a weighted percentage across the checklist items you marked. Each item carries a weight set on its checklist template.
Rework — a new Pending task with origin Rework, created on today's board and linked back to the failed task.
Release — the room moving from Clean to Ready. Only a passed inspection on a vacant room releases it.
The queue
The strip across the top is the same summary the Board uses — Total, Pending, In progress, Cleaned, awaiting check, Inspected and Skipped — with the Ready vs arrivals badge beside it. When readiness is short, an amber line appears above it: Only 7 rooms are ready for 12 arrivals today. That is the number that decides which room you inspect first.
Rooms are ordered for you, not alphabetically:
- Rooms with an arrival today come first.
- Then by priority,
Urgent→High→Normal→Low. - Then by due time.
- Then by room number.
The Filters button opens a popover with Section and Attendant; a badge on the button counts what is active and Clear all resets it. Beside it, the Arrivals today pill narrows the queue to rooms a guest is checking into (it counts towards the filter badge too), and a line reads Showing 9 of 23 rooms awaiting inspection so nothing is hidden silently.
If the list is empty you see No rooms awaiting inspection — either nothing has been cleaned yet (Completed rooms will appear here until a supervisor verifies them) or your filters are excluding everything.
Decide a room
Each entry is the familiar task card with a decision row underneath it: Approve, Fail, and a clipboard button that opens the room's full detail sheet (Open the checklist for room 204).
Read the room
Click the clipboard button, or the room number on the card, to open the detail sheet. History shows who did what and when, Checklist shows the attendant's results side by side with yours, Photos shows the evidence, and Inspection holds the score.
Mark the checklist (optional)
In the Inspection section, each item offers Pass, Fail and Clear. Your marks are recorded independently of the attendant's — theirs stay visible in the Checklist section. Items you leave unmarked are simply left out of the score.
Approve or fail
In the sheet, Approve and release and Fail inspection submit your item marks along with the decision. The Approve and Fail buttons on the queue card decide the room on their own, without item marks — use them when you have nothing to record beyond the outcome.
What approving does
- The task moves to
Inspectedand stamps who verified it and when. - A vacant room moves
Clean→Ready, becomes sellable and stamps last inspected. - An occupied room keeps its condition; only the last inspected timestamp moves. You are signing off the work, not the room's sale state.
- A room with an active out-of-order block is not touched at all.
- If a reservation is checking into that room today, the front desk is notified that Room 204 is ready.
What failing does
Fail opens Fail inspection for room 204? — The room stays held and out of the sellable pool, and a rework task is raised for it. The field What needs to be corrected? is optional but worth filling in: it is what the attendant reads on the rework task. Confirm with Fail inspection.
- The task moves to
Failed, a terminal state, with your reason stored on it. - A Rework task is created for the same room and task type, scheduled for today (which may be a different day than the failed task), with the note Rework after failed inspection: ….
- That rework task is raised at
Urgentpriority when a reservation is checking into the room today, andNormalotherwise. - The room's condition is unchanged — a failed clean never released it in the first place.
- A notification goes out that the inspection failed.
Both timelines carry the link: the failed task shows the rework it raised, and the rework task shows what it came from.
Scoring
The score is weighted, not a simple count:
score = total weight of the items you marked Pass ÷ total weight of the items you marked Pass or Fail × 100, rounded.
Items marked N/A and items you never marked leave both sides of the sum, so skipping an item never drags the score down — it just does not count. A room where nothing applies scores nothing at all rather than a misleading zero. Weights are set per item in Settings → Housekeeping → Checklists, where each item shows its share of the score as you type.
The panel shows the score out of 100 with a status badge — Not started, In progress, Passed or Failed — and an alert spelling out the consequence:

Below it, Failed items (n) lists the items you marked Fail, and a dashed panel links the Rework task once one exists.
Your marks are not saved until you decide
Pass and fail marks live in the sheet until you press Approve and release or Fail inspection — there is no per-item save for an inspector. Closing the sheet with unsaved marks asks Discard this inspection? with Discard marks and Keep inspecting.
Rooms that never reach the queue
A cleaned room skips inspection entirely — the task is marked Inspected automatically at completion and the room goes straight from Dirty to Ready — when either of these is true:
- Inspection required is off for the property, or
- the task falls outside the Spot-check sample rate. At 100% every room is inspected; at 30%, roughly three rooms in ten are. The decision is made from the task itself, not a coin flip, so a refresh never changes it.
A task that was never started has no checklist snapshot, so its Inspection section reads Inspection not available — This task is using a pass-only workflow or has not reached inspection. You can still approve or fail it from the sheet footer; there is simply nothing to score.
Tips
- Work the arrivals first. The Arrivals today pill plus the amber readiness line is the whole job in two clicks: those are the rooms a guest is standing in reception waiting for.
- Use one-click Approve for rooms you have already walked. Open the sheet only when you intend to record a score or a failure — the record is what the Quality report reads.
- Write the fail reason. Bathroom floor not cleaned, bin not emptied is what the attendant sees on the rework task. An empty reason leaves them guessing and usually costs a second failure.
- Check the Board's Cleaned column waiting times. A room Waiting 90m is a sellable room nobody has released; it is the same task sitting at the top of this queue.
