Room Statuses

The Ready, Clean, Dirty and Out of Order conditions, what moves a room between them automatically, and when you may override by hand.

Housekeeping's real output is not a completed task; it is a room that is safe to sell. Every room carries two independent facts — its condition (Ready, Clean, Dirty, Out of Order) and its occupancy (Vacant, Occupied) — and only one combination, Vacant + Ready, puts the room on sale. This page explains the vocabulary, the automatic transitions the system makes as guests check in and out and tasks are completed, and the manual overrides available on Housekeeping → Rooms and the Rooms page.

Key terms

Condition — the housekeeping state of the room. Stored on the room and changed only by check-out, task completion, inspection and manual overrides.

Occupancy — whether a guest is checked in. Driven entirely by reservations; housekeeping never changes it.

Sellable — a room the front desk may assign to a new arrival. Only Ready is sellable; Clean and Dirty are not, and a room with an active out-of-order block is never sellable whatever its condition.

Block — an out-of-order period raised from a work order (or the Rooms page). Out of Order is derived from active blocks rather than written as a condition, which is why resolving the work order lifts it cleanly.

The Rooms page (/rooms) folds condition and occupancy into one display status per room: Available (vacant and ready), Occupied, Dirty and Out of Order. The housekeeping Rooms rack shows condition and occupancy separately, because a supervisor needs to know that an occupied room is also dirty.

Out of Service — coming soon

The badge vocabulary also includes Out of Service (a minor defect that keeps the room off today's sale without pulling it from inventory). The API does not yet emit this value, so no room will show it today; it appears in legends and filters so nothing has to change when it ships.

Automatic changes

Housekeeping writes the room only through one guarded path, and that path follows four invariants: a room with an active block is never touched; an occupied room never changes condition (only its last cleaned / last inspected timestamps move); cleaning never touches availability pushes to channels; and every write checks the room is still in the state it expected, so two people acting at once get a Room changed during housekeeping transition; please retry error rather than a silent overwrite.

Tasks of type Inspection and Maintenance check are not cleaning tasks: completing them changes nothing on the room.

Dirty on check-out is always on today

The server has a per-property switch, dirty on check-out, that stops a check-out dirtying the room. It defaults to on and is not yet exposed on the settings page, so every check-out dirties the room. Turning it off will come with a later settings release.

Nightly generation and room status

The overnight generator (see Housekeeping settings) reads the reservation picture and creates tasks; it does not change any room's condition. Rooms only move when those tasks are completed and inspected. Likewise, the Departure task raised at check-out is the same task the generator would have planned, so running Generate day later never duplicates it.

Manual overrides

Open the Rooms tab of Housekeeping. Each tile shows the condition badge, an occupancy glyph, the guest name when occupied, Arriving / Departing markers and today's open task. Click a tile for its actions:

  • Open room — jumps to the room on the Rooms page.
  • Raise task — opens Create housekeeping task with the room already chosen.
  • Raise work order — opens the maintenance dialog for the room, including Take room out of order.
  • Mark dirty — asks Mark room 204 dirty? and warns that the room comes off sale until it is cleaned and released. Confirm with Mark dirty. Any task already open for the room is unaffected; raise one if you want it cleaned.

Filter the rack by Condition, Occupancy, Section and Turnover (Arriving today / Departing today), search by room number, and switch density with the two toggles. Print rack produces a printable copy. The legend across the top counts rooms per condition and doubles as a condition filter.

Two rules apply to every manual change:

  • Occupied rooms cannot change condition. The server rejects the change with Occupied rooms cannot change operational condition. Wait for the check-out.
  • Setting the same status again is a no-op. Nothing is logged and nothing changes.

Common mistakes

  • Expecting a completed clean to be sellable. With Inspection required on (the default), a completed task leaves the room Clean, not Ready. The room needs an inspector's Approve, or the setting switched off for properties without a supervisor.
  • Marking an occupied room dirty for a stayover. It will be refused. Stayover service is a task (origin Stayover) that completes without changing the room's condition.
  • Resolving a work order and selling the room straight away. Resolution leaves the room Dirty and raises a follow-up clean; the room only returns to sale once that clean is completed and inspected.
